AVA Announces Cancellation of Face-to-Face 2020 Scientific Meeting in Denver Due to COVID-19

June 15, 2020 – Today the Association for Vascular Access (AVA), in close collaboration with the Gaylord Rockies Resort & Convention Center, announced it will cancel its in-person 2020 Annual Scientific Meeting, scheduled to be held September 12-15, due to public health and safety concerns related to the coronavirus (COVID-19) pandemic.
AVA is instead working with scheduled speakers, exhibitors, sponsors and industry partners to deliver a completely reimagined virtual meeting and exposition, AVA at Your Fingertips, from October 27-30. The cost for an AVA member to attend AVA at Your Fingertips is $199.00. Non-members can attend for $325.00, a fee that includes a 1-year membership to AVA.
“After careful consideration and a thorough discussion of every aspect of the meeting and experience with our fantastic partners at the Gaylord Rockies Resort & Convention Center, AVA has made the extremely difficult to decision to move its 2020 Scientific Meeting to a virtual experience,” said AVA President Lori Kaczmarek, MSN, RN, VA-BC™. “Though we were eager to put on a robust, memorable in-person Annual Meeting in Denver this September, the public health and safety of our attendees, staff, volunteers, sponsors, exhibitors and the Gaylord staff greatly outweighed any other considerations in our collective decision-making process.”

Q. How long is the AVA at Your Fingertips Virtual Platform open/available?
A. The live AVA at Your Fingertips event is scheduled for October 27-30, 2020, with the virtual platform set to open about two weeks prior. The platform will remain available to attendees and exhibitors for 45 days upon conclusion of the event, or until December 14, 2020.
Q. How much does it cost to attend AVA at Your Fingertips?
A. AVA members can attend for $199.00. Non-AVA members can attend for $325.00, a fee that includes a 1-year membership to AVA.
Q. Are discounts available for group registrations?
A. No. The AVA Board of Directors felt it was vital to make the registration feed for AVA at Your Fingertips affordable for everyone during these unprecedented times. Thus, at the extremely low fee of only $199.00 for AVA members and $325.00 for non-AVA members, we are unable to offer any additional discounts.
Q. I registered for the 2020 AVA Scientific Meeting in a group. What are my registration options?
A. Please complete the Registration Refund Request Form by July 31 to apply your group’s fees to AVA at Your Fingertips (and a refund of the difference), rollover your fees to the 2021 Scientific Meeting, or obtain a full refund for your group.
If you are requesting a registration refund for a group and one refund check for all registrants will do, please list the first and last name of each additional registered attendee, in the Special Requirements box at the end of this form.
If you need individual refund checks, please complete a form for each registrant.
Q. I registered for AVA at Your Fingertips (thus, either by spending $199.00 as an AVA member or $325.00 as a non-AVA member) but no longer want to attend. Can I get a refund?
A. No. Refunds will not be granted for AVA at Your Fingertips. Because the online platform will be available for 45 days upon the conclusion of the live event, attendees will be able to view sessions, visit the virtual exhibit hall and obtain their CE certificates.
Q. How many Continuing Education credits are available at AVA at Your Fingertips?
A. There are 35.0 Continuing Education credits available.
Q. Do you have to complete sessions and evaluations during the four days of the meeting in order to earn all 35.0 Continuing Education credits?
A. No. The AVA at Your Fingertips online virtual meeting platform will be available for 45 days upon the conclusion of the live event. All attendees will have access to the AVA at Your Fingertips Session Library during this period, which will allow you to consume the content you missed and earn CEs at your leisure.
Q. I registered for the 2020 AVA Scientific Meeting. Can my registration fees be used toward registration for AVA at Your Fingertips?
A. Yes! Complete the Registration Refund Request Form by July 31, 2020 to
apply your fees to AVA at Your Fingertips and receive a refund of the difference. All registration refunds will be sent by check.
Q. I registered for the 2020 AVA Scientific Meeting. Can my registration fees be used toward registration for the 2021 AVA Scientific Meeting?
A. Yes! Complete the Registration Refund Request Form by July 31, 2020 to
apply your fees to the 2021 AVA Scientific Meeting, scheduled for September 16-19, 2021, at the Gaylord Palms in Orlando.
Q. I registered for the 2020 AVA Scientific Meeting but do not want to attend AVA at Your Fingertips. How do I get a refund?
Q. What is the deadline to request a refund for my registration fees?
A. The deadline to submit a refund request is July 31, 2020. After this date, any remaining registrations will automatically be applied to the virtual meeting and refunds may not be available.
Q. How can I cancel my hotel room reservation at the Gaylord Rockies?
A. If you booked within the official AVA hotel block, the Gaylord Rockies will cancel your reservation and send an email confirmation following the cancellation of your booking. If you booked on your own, you will need to cancel your reservation by communicating with the hotel.

Q. What is the exhibitor registration rate for booth personnel for AVA at Your Fingertips?
A. It costs $199.00 for exhibitor booth personnel to attend AVA at Your Fingertips.

AVA, the Gaylord and other event partners in Denver were in regular contact during the planning of AVA’s 34th Annual Meeting and paid close attention to the timing of federal and state of Colorado plans to ease air travel restrictions, social distancing guidelines
and restrictions on large gatherings once the COVID-19 threat has abated. Considering that many of those factors are either still unknown or constantly in flux, reviewing the feedback AVA received from the more than 1,000 participants of its 2020
Scientific Meeting prospective attendee survey, and with numerous AVA Annual meeting attendees typically coming from all over the country as well as internationally, all parties involved concluded that canceling the face-to-face event was the safe,
responsible and appropriate action.
